Migration Update: January 26, 2018

Jerry, our Polaris data expert, has been hard at work on our issues list this week. While we only have one update to share with all libraries, several library-specific issues were resolved this week. CCS staff are updating Fresh Desk tickets. We had a couple of requests for new shelf locations this past week. As a reminder, we can only add new policies until February 2. If you have any lingering requests, please get them in this week. How to Prepare: Patron Lists and Reading History

Neither patron lists from Enterprise nor patron reading history (also called checkout history) will migrate to Polaris. However, patrons can preserve their lists and reading history. Please share these options with your patrons in advance of the migration. Once we enter offline mode on April 13th at 9:00 PM, patrons will not have access to My Account features. (Note: if patrons have "Record my checkout history" selected in Symphony, the setting will migrate to Polaris and the patron's"Maintain reading history" setting will be active.) Enterprise Lists Patrons may choose to email or print their Enterprise Lists prior to April 13th. Once we enter into offline mode, there will be no access to M

This week we're sharing permission groups and asking libraries to let us know which staff should have which permissions. CCS will commit to updating all permissions received by February 2 no later than February 23. It is important the staff have adequate time to test their login with permissions to ensure they have access to all features needed to complete their tasks. How to Prepare: Staff Permissions

Polaris permissions control who can access, create, modify, or delete specific record types and who can perform specific tasks in Polaris. CCS has created permission groups that align with library tasks and job functions. These permission groups are described below. CCS will email each library lead a spreadsheet that includes a list of all Polaris users for their library. Library leads will fill out the spreadsheet, assigning staff usernames to the appropriate permission groups. Staff can be assigned to multiple permission groups. Basic permission groups must be assigned before additional groups can be added. For example, to give a staff member full cataloging functions, assign General Staf

Migration Update: January 12, 2018

After a few relatively quiet updates, we have a lot of information to share this week. Most notably, we have finalized our go live schedule, which is outlined on the migration portal. We will review this schedule with Governing Board as well as at upcoming technical group meetings and during our next all-staff webinar. We also have some data updates to share as well as details on how to request PowerPAC customizations. With a little over three months to go until we migrate to Polaris, it's more important than ever to keep up to date on the project. Forward this email to your colleagues, or have them subscribe. Keep your questions and data issues coming. We appreciate all of your efforts on t

Fixed Field Decisions

Patrons searching in PowerPAC can narrow their search using a number of predefined facets. On Monday, Database Management met to discuss and establish guidelines for two PowerPAC facets: Target Audience and Literary Form. Target Audience The audience fixed field in a bibliographic record populates the Target Audience facet in PowerPAC. The bulk of CCS records in Symphony do not have this field completed. As a result, many records are appearing in the PowerPAC facet with a target audience of "Unknown or not specified." The Database Management Committee reviewed recommendations from both the PAS and Technical Services Advisory groups. The group decided that moving forward, CCS will require th

How to Prepare: PAC Customization Elements

Monday's PAC webinar reviewed a number of different customization options for PowerPAC. Today's How to Prepare outlines many of those elements. Libraries can open a help ticket to place requests. All requests for PAC elements to be configured by CCS must be submitted prior to March 1. Work in the PAC custom folder should be done prior to April 6, when the test database will be copied over to production. Below, you'll find additional details and steps for requesting specific elements reviewed in the webinar. Libraries may want to review the PAS recommendations for PowerPAC elements to remain consistent for patrons, regardless of which library's catalog they are searching. Banner Image and Ba

2018 started with a bang for CCS! Thank you for your patience as we worked through Symphony downtime this morning. Many CCS staff will be in meetings or training sessions the week of January 8, so you may see an increase in response time on tickets. Please call for any urgent issues, such as connection problems.
